White Glove Plumbing respects your privacy. This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. By using the Site, booking a service, calling or texting us, or interacting with us in any way (collectively, the “Services”), you agree to this Policy.

1) Scope & Who This Policy Covers

This Policy applies to:

  • Visitors to our Site.

  • Residential and commercial customers (and their representatives).

  • Prospective customers, job applicants, and suppliers.

  • People who contact us by phone, SMS, email, web forms, chat, or social media.

This Policy does not cover third-party websites, platforms, or services we don’t control. Their policies apply.

2) Key Terms (Plain Language)

  • Personal Information (PI): Info that identifies or can be reasonably linked to a person or household (e.g., name, email, IP address).

  • Sensitive PI: Certain categories defined by law (e.g., precise geolocation, government IDs). We typically do not collect Sensitive PI except as noted.

  • Sell / Share (California): “Sell” means exchanging PI for money or other value. “Share” means disclosing PI for cross-context behavioral advertising. We don’t “sell” PI; “sharing” could occur if we enable ad partners (see Section 17).

3) Information We Collect

A) Information You Provide

  • Identifiers & Contact: name, email, phone, service address, mailing address.

  • Service Details: job location, project description, preferred dates/times, photos or videos you upload or text to us, warranty claims.

  • Communications: emails, calls, voicemails, SMS/MMS (including images you send), chat transcripts, reviews/testimonials.

  • Transaction Info: services purchased, estimates/quotes, invoices, financing status (if you apply through a third party).

  • Business Customer Data: company name, role/title, work email/phone, purchase authority.

  • Job Applicants: résumé/CV, work history, licenses/certifications, references, background-check authorization (if applicable).

B) Information Collected Automatically

  • Device & Usage: IP address, browser/OS, device type, pages viewed, links clicked, session duration, referring/exit pages.

  • Approximate Location: derived from IP to route service requests and prevent fraud.

  • Cookies & Similar Tech: pixels, tags, local storage for site functionality, analytics, and (if enabled) advertising (see Section 10).

C) Information From Other Sources

  • Vendors/Partners: scheduling tools, payment processors, call/SMS platforms, analytics and ad platforms, review sites.

  • Public Sources: property records or business registries to confirm service locations or commercial relationships.

  • Referrals: information from friends/contractors/HOAs who refer you to us (we assume you have consent to share referral details).

We do not intentionally collect: government IDs, precise geolocation, health info, or biometric data for typical plumbing work. If a unique case requires such info (e.g., insurance claim numbers), we will use it only for that purpose.

4) Why We Use Information (Purposes)

  • Provide Services: respond to inquiries, schedule/dispatch technicians, complete work orders, process payments, send estimates/invoices, and manage warranties.

  • Customer Support & Communications: confirmations, reminders, rescheduling, service updates, and responses to questions.

  • Operational Improvement: diagnostics, analytics, quality assurance (e.g., reviewing recorded calls), training, and product/service development.

  • Security & Fraud Prevention: verify identities, detect/mitigate illegal or unauthorized activities, and protect our customers and business.

  • Marketing (with controls): service tips, promotions, and remarketing (opt-out available; see Sections 11 and 17).

  • Legal Compliance: tax/recordkeeping, safety compliance, responding to lawful requests, enforcing terms and agreements.

Legal Bases (EEA/UK, if applicable): contract performance, legitimate interests (service improvement, security), consent (certain marketing/cookies), and legal obligations.

5) How We Share Information

We do not sell PI for money. We may disclose PI to:

  • Service Providers/Contractors: hosting, security, analytics, communications (email/SMS/call), scheduling/dispatch, payment processing, document e-signature, customer surveys, and review platforms. They must protect PI and use it only as instructed.

  • Field Technicians & Subcontractors: names, addresses, job notes, and contact info required to perform the work.

  • Advertising/Analytics Partners: if enabled, to measure performance and (optionally) run remarketing/retargeting (see Section 17).

  • Business Transfers: during mergers, acquisitions, financing, or sale of assets.

  • Legal/Safety: to comply with law, respond to lawful requests, or protect rights, property, safety (including investigating potential violations).

  • With Your Direction/Consent: e.g., sharing project photos for a public testimonial you approve.

We may share aggregated/de-identified info that cannot reasonably identify you.

6) Data Minimization & Retention

We keep PI only as long as needed for the purposes described, including:

  • Service Records & Invoices: generally 7 years (tax, accounting, warranty).

  • Customer Support Messages: 2–4 years (depending on case history and legal needs).

  • Call Recordings (if used): typically 12–24 months for quality/training unless a longer retention is required for a dispute.

  • Job Applicant Data: up to 3 years (or as required by law); hired employees are covered by separate notices.

  • Cookies/Analytics Data: see Section 10 table.

 

We may keep data longer when needed to comply with law, resolve disputes, or enforce agreements. We delete or de-identify data when no longer needed.

 

7) Your Choices & Controls

  • Email Marketing: click “unsubscribe” in promotional emails or contact us.

  • SMS/MMS: reply STOP to opt out (message/data rates may apply).

  • Cookies/Tracking: manage via your browser and any cookie banner/controls we provide (see Section 10).

  • Advertising Preferences: use industry opt-outs in Section 17.

  • Do Not Track: our Site does not currently respond to DNT signals.

8) Your Privacy Rights

California Residents (CCPA/CPRA)

You can:

  • Know/Access the categories and specific pieces of PI collected.

  • Delete PI (with legal exceptions).

  • Correct inaccurate PI.

  • Limit use/disclosure of Sensitive PI (if we ever collect it for non-exempt purposes).

  • Opt Out of “Sharing” for cross-context behavioral advertising (see Section 17).

  • Non-Discrimination for exercising your rights.

Verification: we may request information (e.g., name, service address, order details) to verify identity.
Authorized Agents: allowed with verifiable proof of authorization and identity.

Shine the Light (CA Civil Code §1798.83): you may request details about certain disclosures of PI to third parties for direct marketing (we do not disclose in this way without your consent).

Other U.S. States

Residents of CO, CT, VA, UT (and similar state laws) may have rights to access, delete, correct, and opt out of targeted advertising or certain profiling. Use the same contacts above.

EEA/UK (if applicable)

Rights to access, rectify, erase, restrict or object to processing, data portability, and withdraw consent. You may lodge a complaint with your local data protection authority.

9) Security

We implement reasonable administrative, technical, and physical safeguards, including:

  • Access controls and least-privilege practices.

  • Encryption in transit; encryption or tokenization by processors for payment data.

  • Network monitoring and regular software updates.

  • Employee/contractor confidentiality obligations and training.

No system is 100% secure. If you suspect unauthorized access, contact us immediately.

10) Cookies & Similar Technologies

We use cookies and similar tools to operate and improve the Site and (optionally) to deliver ads. You can manage cookies in your browser and through our cookie banner (when present).

11) Email, Calls, and SMS/MMS

  • TCPA Compliance: For automated or prerecorded marketing calls/texts, we obtain required consent; not a condition of purchase. Reply STOP to opt out; HELP for help.

  • Call Recording: We may record or monitor calls for quality/training; we will provide notice as required by law.

12) Commercial Accounts & Insurance/Financing

  • Commercial Clients: we may collect business tax IDs, purchase orders, and contract terms from authorized representatives.

  • Insurance Claims: if you request, we may share estimates, photos, and job details with your insurer or adjuster.

  • Financing Partners: if you apply for financing via a third party, that provider’s privacy policy governs the application; we receive limited status updates (approved/denied, funded) and use them only to fulfill your service.

13) Children’s Privacy

Our Services are intended for adults. We do not knowingly collect PI from children under 13 (or under 16 where applicable). If you believe a child provided us PI, contact us to request deletion.

14) International Data Transfers

If you access the Site outside the U.S., your PI may be transferred to, stored in, and processed in the United States or other locations. Those places may have different data-protection rules. Where required, we rely on appropriate safeguards (e.g., contractual protections).

15) Third-Party Links & Integrations

Our Site may include links to maps, scheduling widgets, review sites, analytics, ad platforms, social media, or payment processors. Your use of those services is governed by their own privacy policies and terms.

  • Sensitive PI: we do not use Sensitive PI to infer characteristics or for non-exempt purposes.

17) Targeted Advertising, “Do Not Sell or Share,” & Opt-Out Signals (California/State Laws)

  • If we enable advertising pixels/cookies that qualify as “sharing” PI for cross-context behavioral advertising, you can opt out via a “Do Not Sell or Share My Personal Information” link (we will place it in the Site footer) and through cookie settings.

  • We will also endeavor to honor Global Privacy Control (GPC) signals as opt-out preferences for the browser/session that sends them.

18) Exercising Your Rights: Process & Timelines

  1. Submit a request via office@whitegloveplumbingca.com or (949) 209-5206.

  2. Verification: we may request details such as last service date, service address, or invoice number.

  3. Timeline: we aim to respond within 45 days (California), with a possible 45-day extension if reasonably necessary (we’ll tell you why).

  4. Appeals: where required by state law (e.g., CO/CT/VA), you may appeal a decision by replying to our response within 30 days; we will provide our final written decision and information about contacting your state attorney general if applicable.

  5. Metrics: if required by law, we will publish annual request metrics.

19) Data Integrity & Accuracy

Please keep your information current. You can request corrections (see Section 8). We may ask for documentation to verify corrections where appropriate (e.g., updated address).

  • Subjects: customers, prospects, business contacts, technicians/subcontractors (limited), applicants.

22) Changes to This Policy

We may update this Policy periodically to reflect changes in our practices or legal requirements. The Effective Date at the top shows when it was last updated. Material changes will be posted on this page and, where required, we will provide additional notice. Your continued use of the Services after an update means you accept the changes.
